Administration Manager

Job Objective:
To provide Administrative support to the field stations and to Procurement and Vehicle fleet management. S/he will ensure transparency and accountability in all administration processes from requisition to utilization.

Description of Duties:
  • Work with the Country Director, Head of Programmes and other senior management team members to identify, plan and agree items to be procured within approved budgets, policies and procedures.
  • Ensure timely and rational procurement, storage, and distribution of all project items.
  • Manage all travel arrangements, ensuring cost effective utilization of available fleet.
  • Build the capacity of the existing administration team in line with the programme needs.
  • Manage all activities and documentation in the bidding process.
  • Develop strategies for cost reduction in the logistics management without compromising quality.
  • Provide technical guidance on logistics management and utilization.
  • Participate in sourcing for construction contractors and manage all contractual transactions and verification of related documentation.
  • Participate and provide required information to external and internal auditors
  • Develop, implement and monitor a materials usage system for project resources.
  • Produce reports about logistics to guide decision making.
  • Manage and coordinate all administrative activities with the relevant stakeholders.
  • Supervise the Administration staff both at Country office and field stations.
  • Organize on spot and periodic checks to the field, fuel stations, and project sites to ensure compliance with AMREF policies and procedures.
  • Manage all processes of acquisition, marking/engraving, maintenance/servicing, repair, and replacement of all equipment.
  • Manage the insurance of all project assets and ensure that vehicles and motorcycles are licensed, repaired and replaced/disposed of.
  • Manage and advise on the disposal of obsolete/aged assets.
Qualifications and Competencies
  • A degree in Logistics management/Business administration/Social Sciences,   or closely related area.
  • Professional training in procurement/stores management/fleet management is essential.
  • A Masters degree a related field will be an advantage.
  • Membership to relevant professional bodies is an added advantage.
  • Demonstrable experience working with donor funded projects in an NGO set up for at least three years.
